Refund & Cancellation Policy

Last Updated: 21 September 2026

Kallinga Global Institute of Technology, Innovation & Management (“KGITIM”, “we”, “our”, or “us”) aims to maintain transparency in relation to admission fees, course fees, registration charges, application fees, and other payments made through our website or directly to the Institute.

This Refund & Cancellation Policy explains the circumstances under which payments may be cancelled, refunded, adjusted, or treated as non-refundable.

1. Application and Registration Fees

Application fees, registration fees, prospectus fees, counselling fees, or similar processing charges paid to KGITIM are generally non-refundable, unless otherwise specifically stated by the Institute.

These charges may cover administrative, verification, documentation, counselling, and application-processing costs.

2. Admission Fee Refund

If a student has paid an admission fee and later wishes to cancel their admission, any refund will be processed in accordance with:

  • The applicable admission rules of KGITIM
  • Relevant university or affiliating authority guidelines, where applicable
  • Government or regulatory requirements
  • The date on which the cancellation request is received
  • The stage of the admission process
  • Any administrative or processing charges applicable at that time

Refund eligibility may vary depending on when the admission cancellation request is submitted.

3. Course Fee Refund

Course or tuition fees may be refundable only in cases permitted under the applicable admission rules or institutional guidelines.

Where a student has already commenced classes, attended training, accessed course materials, used institutional facilities, or received academic services, KGITIM may deduct the applicable charges before processing any eligible refund.

Certain fees may remain non-refundable depending on their nature.

4. Non-Refundable Charges

The following charges may generally be non-refundable:

  • Application fees
  • Registration fees
  • Admission processing charges
  • Counselling charges
  • Examination fees already submitted to the concerned authority
  • Identity card charges
  • Study material charges
  • Administrative charges
  • Documentation charges
  • Payment gateway or transaction charges
  • Charges for services already provided
  • Any other fee specifically marked as non-refundable

5. Duplicate or Excess Payment

If a student or applicant accidentally makes the same payment more than once, or pays an amount in excess of the required fee, they may contact the Institute with the relevant transaction details.

After verification, the excess or duplicate amount may be refunded or adjusted against future fees, as appropriate.

The applicant or student may be required to provide:

  • Full name
  • Application or student ID
  • Registered mobile number
  • Registered email address
  • Payment amount
  • Date of transaction
  • Transaction ID or reference number
  • Payment receipt or screenshot
  • Bank or payment details required for refund processing

6. Failed Transactions

If money is debited from the applicant’s or student’s bank account but the transaction is shown as failed or unsuccessful on our website, the amount may be automatically reversed by the bank or payment service provider.

The reversal timeline depends on the respective bank, UPI provider, card network, or payment gateway.

If the amount is not reversed within the normal banking period, the user should contact their bank or payment provider and may also contact KGITIM with the transaction details for assistance.

7. Cancellation of Admission by the Student

A student wishing to cancel their admission should submit a written cancellation request to the Institute.

The request should include:

  • Student’s full name
  • Application or admission number
  • Course or programme name
  • Date of admission
  • Contact details
  • Reason for cancellation
  • Copies of payment receipts
  • Bank details, where a refund is applicable

The effective cancellation date will normally be the date on which the complete written request is received by KGITIM.

8. Cancellation by the Institute

KGITIM reserves the right to cancel an admission, programme, batch, event, training session, or other service where necessary due to circumstances such as:

  • Insufficient enrolment
  • Administrative reasons
  • Regulatory requirements
  • Incorrect or fraudulent information provided by the applicant
  • Non-payment of required fees
  • Violation of institutional rules
  • Circumstances beyond the reasonable control of the Institute

Where KGITIM cancels a programme or service and the student is not responsible for the cancellation, an appropriate refund, adjustment, or alternative arrangement may be offered depending on the circumstances.

9. Incorrect or Fraudulent Information

If admission is cancelled because an applicant has submitted false, misleading, forged, or incorrect information or documents, KGITIM may deny a refund of fees, subject to applicable institutional rules and legal requirements.

The Institute may also take appropriate academic or legal action where necessary.

10. Scholarship and Discount Adjustments

If a student has received a scholarship, discount, concession, promotional offer, or fee waiver, any refund calculation may be based on the actual amount paid after applying the applicable scholarship or concession.

Scholarship or discount benefits may not be redeemable for cash.

11. Refund Processing

Approved refunds will generally be processed through an appropriate banking or payment method.

Refunds may be made to:

  • The original payment method
  • The applicant’s or student’s verified bank account
  • Another authorised payment method approved by KGITIM

The applicant or student may be required to submit supporting documentation before the refund is processed.

12. Refund Processing Time

Once a refund has been approved, KGITIM will endeavour to initiate it within a reasonable period.

The final credit time may depend on:

  • The applicant’s bank
  • Payment gateway
  • UPI service provider
  • Card network
  • Banking holidays
  • Transaction processing systems

KGITIM is not responsible for delays caused solely by banks or third-party payment service providers.

13. Payment Gateway Charges

Payment gateway charges, bank charges, convenience fees, transaction charges, or other third-party processing fees may not be refundable unless otherwise required by law or agreed by the concerned service provider.

14. Refund Requests

All refund or cancellation requests should be submitted to the Institute with complete payment and applicant details.

Incomplete requests may require additional verification before they can be processed.

KGITIM reserves the right to request additional supporting documents where necessary to verify the authenticity of a refund request.

15. Disputes

If there is any dispute regarding a fee payment, refund, or cancellation, students or applicants are encouraged to first contact the Institute for resolution.

Each case will be reviewed based on:

  • Payment records
  • Admission status
  • Services already provided
  • Applicable institutional rules
  • Relevant regulatory guidelines
  • Supporting documents submitted by the applicant or student

16. Changes to This Policy

KGITIM may modify or update this Refund & Cancellation Policy from time to time.

Any updated version will be published on the website with a revised “Last Updated” date.

Applicants and students are encouraged to review this policy before making any payment.
